As a Receptionist, you will be the first point of contact for visitors and callers to the organization. Your primary responsibilities include managing the front desk, handling inquiries, and providing administrative support to ensure a smooth and welcoming experience for guests and staff.

Key Responsibilities:

  1. Front Desk Management:

    • Greet and welcome visitors with a professional and friendly demeanor.
    • Manage the reception area, ensuring cleanliness and organization.
    • Maintain a neat and professional appearance at the front desk.
  2. Visitor Assistance:

    • Provide information to visitors regarding the organization, its services, and relevant personnel.
    • Direct visitors to the appropriate person or department.
    • Issue visitor badges and ensure security protocols are followed.
  3. Phone Handling:

    • Answer and direct phone calls promptly and professionally.
    • Take and relay messages accurately.
    • Provide basic information to callers and handle inquiries.
  4. Administrative Support:

    • Assist with various administrative tasks, such as sorting and distributing mail, scheduling appointments, and managing office supplies.
    • Coordinate and book meeting rooms for staff and visitors.
    • Support other departments with clerical tasks as needed.
  5. Communication:

    • Maintain clear and effective communication with staff and visitors.
    • Notify relevant personnel of visitor arrivals or important messages.
    • Handle inquiries and provide information in a helpful manner.
  6. Problem Resolution:

    • Address and resolve routine administrative issues.
    • Redirect complex issues or inquiries to the appropriate department or personnel.
  7. Record-Keeping:

    • Maintain and update contact lists, directories, and other records.
    • Keep accurate records of visitor logs and appointments.
  8. Technology Proficiency:

    • Use office equipment, such as phone systems, photocopiers, and computers, proficiently.
    • Be familiar with basic software applications for tasks like email and scheduling.

Qualifications:

  • High school diploma or equivalent (additional education or certification may be preferred).
  • Previous experience in a receptionist or customer service role is advantageous.
  • Excellent verbal and written communication skills.
