A Receptionist serves as the first point of contact for visitors, clients, and employees. This role involves handling incoming calls, greeting guests, and providing administrative support to ensure the smooth operation of the front desk and office.

Responsibilities:

  1. Front Desk Operations:

    • Welcome and greet visitors in a professional and friendly manner.
    • Answer and direct incoming calls to the appropriate personnel.
  2. Visitor Assistance:

    • Provide information and assistance to visitors, ensuring a positive experience.
    • Manage visitor sign-in and issue visitor badges when necessary.
  3. Communication:

    • Relay messages accurately to employees and handle inquiries from the public or clients.
    • Respond to emails, phone calls, and other forms of communication promptly and professionally.
  4. Administrative Support:

    • Assist with general administrative tasks such as photocopying, faxing, and filing.
    • Coordinate and schedule appointments or meetings.
  5. Mail Handling:

    • Receive and distribute incoming mail and packages.
    • Prepare outgoing mail and packages, including arranging courier services when needed.
  6. Office Supplies:

    • Monitor and replenish office supplies as necessary.
    • Coordinate with the administrative team for supply orders.
  7. Maintaining a Tidy Reception Area:

    • Ensure the reception area is neat and organized.
    • Arrange reading materials and maintain a welcoming atmosphere.
  8. Security and Safety:

    • Enforce security protocols, such as verifying the identity of visitors.
    • Be aware of emergency procedures and assist in evacuations if necessary.
  9. Calendar Management:

    • Assist in managing appointment calendars for meeting rooms or executives.
  10. Record Keeping:

    • Maintain accurate records of visitor logs, calls, and appointments.
    • Assist in keeping employee contact lists up to date.
  11. Team Collaboration:

    • Collaborate with other administrative and support staff to ensure effective office operations.

Qualifications:

  1. Education:
